Oversold on Etsy or Shopify? What to do, in order
You sell a one-of-a-kind piece on Etsy in the morning, and minutes later it sells again on your Shopify store. Handled well, an oversell stays a one-off. Here is what to do, in order.
1. Check before you tell anyone
- Real stock: is the piece really gone, or is there a spare, a close variant, or one in progress?
- Order sequence: the simplest and fairest approach is usually to honour the first order placed.
2. Contact the second buyer quickly
Same day, before cancelling, through the platform's messaging. Keep it short and honest:
Hi [name], thank you for your order. I want to be upfront: this one-of-a-kind piece sold a few minutes earlier on another channel, and my stock didn't update in time. I'm sorry. I can offer [a similar piece / a made-to-order one within X days], or a full refund today. What would you prefer?
Offering an alternative can save the order, and shows you take it seriously.
3. Cancel cleanly
- Etsy: only the seller can cancel an order. In Shop Manager, open the order, choose Cancel, select the reason that honestly matches, then confirm. The buyer receives a full refund.
- Shopify: open the order, then More actions › Cancel order. Choose the refund (original payment method by default) and the reason. Watch out: Restock inventory is selected by default. Untick it if the item no longer exists, or it becomes buyable again.
Sort it out yourself, quickly: on Etsy, a buyer left without a solution can open a case with Etsy.
4. Fix stock everywhere
On Shopify, set the quantity to 0. On Etsy, a listing whose quantity reaches 0 shows as sold out; you can also deactivate it. Then check that no other listing points to the same product.
5. Prevent the next one
- In Shopify, make sure Continue selling when out of stock is off for your products and variants (the setting only appears when inventory is tracked).
- Give every product and variant the same SKU on Etsy and Shopify: see our SKU guide.
- One-of-a-kind items: quantity 1, never more.
- On best sellers, keep a small unlisted buffer.
- Automate stock updates between the two channels. Since Shopify Marketplace Connect isn't accepting new Etsy connections for now (existing ones keep working), the simplest option is a third-party app. That's what we're building with StockPont, in presale on the pricing page.
